PERSONAL INFORMATION AND PURPOSES
Personal data is such information that, directly or indirectly, can be attributed to a natural person who is alive. Examples of such information are name, contact details, photo, social security number, IP address and content of e-mail and other communications.
We process personal data about you as:
We process personal data for the purposes of administering and carrying out our tasks, fulfilling our legal obligations, recruiting staff and marketing our services (in the ways described in more detail below).
We are the data controller for our processing of personal data and are responsible for complying with applicable data protection legislation.
Execution of assignments
We process personal data that we receive within the framework of an assignment, or in connection with the preparation or administration of an assignment, for the purposes of administering and performing the assignment and fulfilling our legal obligations.
We also process personal data that we collect from private and public registers and from authorities. This takes place, for example, in order to fulfill our legal obligation to check the identity and ownership of our customers and to inform us about the assignment and in some cases also about the origin of customer funds and other assets.
Subscription and email forms
We may gain access to personal data through contacts via e-mail and other communications or through your use of any of the services we provide via the website.
An example of such a service is the subscription function where you register your email address, which we store in order to be able to send you newsletters and other information. Another such service is the email function. To send e-mail via the website function, you need to enter name, e-mail address, company and telephone number. This information is saved in order to send you information and follow-up emails. If you no longer wish to receive any mailings from us, please contact us using the contact details at the bottom of this information text. You can also unsubscribe by following the link at the bottom of each mailing.
We may also use your personal data for customer surveys or other marketing activities.
Recruitment
We process personal data within the framework of recruiting staff and hiring consultants. The information we process is that which you provide in your application, for example CV, personal letter, grades, certificates, information from references and test results from personality tests/logic tests. In some cases, we also ask you to request an extract from the charge register in connection with signing the employment contract. When you receive the extract, we look at it together and then return it to you or destroy it immediately. We do not save the extract. We can also carry out a background check (to which you give your consent when signing the employment/assignment agreement) via an external company, which contains information about, for example, legal matters and about your finances.
Website and cookies
When you visit our website, indirect personal data is also generated via our use of cookies, which is described under the website’s section for legal information. We may use such data for statistical purposes. However, we will use de-identified data for statistical purposes as much as possible.
LEGAL BASIS
We process your personal data when it is necessary to carry out our mission according to law, send information that you subscribe to and carry out seminars and other events that you have registered for. We also process the data when we have a legitimate interest in processing them, for example an interest in being able to communicate with you, carry out recruitment, market ourselves and develop our services. If we were to process your personal data for any purpose that, according to data protection legislation, requires your consent, we will obtain your consent in advance.
RELEASE OF PERSONAL DATA
The data may be disclosed to external companies that we collaborate with, for example marketing agencies and providers of IT services. We may also disclose information when we have a legal obligation, such as due to money laundering legislation.
Your personal data is always treated confidentially and protected with appropriate security measures. Companies that handle personal data on our behalf may always enter into a so-called personal data processing agreement with us in order for us to be able to ensure a high level of protection for your personal data with our partners and suppliers.
If we engage providers of IT services located outside the EU/EEA, we ensure that your data is adequately protected, for example by signing a data transfer agreement with the provider outside the EU/EEA who gets access to our IT systems.
STORAGE PERIOD
Personal data is only stored as long as it is necessary to fulfill the purposes of the processing, or as long as we are obliged to store it according to law or other rules that apply to our business. They are then deleted in accordance with our thinning routine.
